One of the foremost parts of my coaching practice deals with time management. A skilled manager should know how to manage his time and meet the demands of their clients and patients efficiently. Time management can be done efficiently using these tips.
1. Plan all your work before starting the day and post it in specific time segments on your Outlook or other calendar. Allow sufficient time to complete each task that is scheduled, including driving time.
2. If there is any change in the schedule, like a meeting exceeding for hours when your plan to finish it in one hour, engage employees to finish it before you come out and check whether it is done properly.
3. If there is too much work accumulated, be ready to make full use of your employees potential. Assign a small part of work to each person and supervise it. Also, learn to say NO!
4. A good manager should know how to delegate work plus who to delegate to.
5. If there is problem in maintaining the schedule, list the most important jobs and get them finished one by one based on their importance.
How to Plan?
Manage your time efficiently by planning it beforehand. Developing proper scheduling techniques and sticking the schedule is a basic must for any good manager. A manager´s work is versatile. They have to control each and every part of the organization and take responsibility for all the mistakes in the organization. They are directly responsible for assigning engaging employees in suitable work and developing the business. Their everyday schedule should be designed to give equal importance to the employees as well as the patients and clients. There is a saying, a managers work can be the easiest and hardest one at the same time. It is all determined by proper planning, good communication and the ability to delegate work properly by seeing the potential in every employee.
Managing the Situation
Planning is easy. Making it work is very hard. As a manager you might plan on a appointment with vendors or prospects for two hours but it may take the whole afternoon. A skilled manager will be capable of engaging employees for the work which falls short on his absence. They should be capable for making up for the delay with the help of their well trained employees, even if their schedule falls back for two to three days.
Delegation for Work
Delegation comes next to planning in efficient time management. Managerial work itself is a kind of supervising work only. Every manager should know to a certain extent how to delegate a work. The problem is most people delegate the work they don´t want to do- the grunt work. That does little to get the major things completed and it does nothing to develop your employee ability to make decisions and problem solve. The very successful managers know who to delegate to. Proper understanding and good rapport with employees will give the manager an idea about each employee´s potential. This will help in engaging employee´s for the proper work a manager needs help with.
Choosing the Important
Proper prioritization saves lot of time and effort. Managing your time efficiently relies mainly on finishing the important work properly on time. There will be numerous minute tasks which can wait until the managers attend to them leisurely.
